Book My Imaging ("we", "us") operates bookmyimaging.com, a platform that connects patients in Australia with local diagnostic imaging providers. This policy explains what personal information we collect, why, and how we protect it.

What we collect

Contact details you give us: name, phone number, email address.
Your imaging request: service type, notes, and any referral document or image you upload.
If you attach a referral, three details read off it: the name of the practitioner who wrote it, their practice or provider number, and the date on it. Medicare requires an imaging request to carry these, so we pass them to the clinic with your referral.
Your preferred contact method(s) and, if you use instant booking, your chosen appointment time.
Basic account information if you sign in (email address, sign-in timestamps).
If you send feedback: what you write, your rating, the page you came from, and an email or phone number only if you give one for a reply. Only our own team reads it, to improve the site.

How we use it

We use your information solely to connect you with the imaging clinic(s) you choose, so that clinic can contact you and arrange your appointment. We do not sell your personal information, and we do not use it for advertising.

Who can see it

Only the clinic(s) you select to receive your request can see your details for that request. Our own team can access data only to operate, secure, and troubleshoot the platform.

Referral documents and images

Any referral form, scan, or photo you upload is stored in a private, access-controlled location. Only you and the clinic(s) you send it to can access it.

Data storage and security

Your data is stored using industry-standard encryption in transit and at rest, with row-level access controls so that only authorised parties (you, the clinic you contacted, and platform administrators where necessary) can read it.

How long we keep it

Not longer than we need it. We are a way of getting your request to a clinic, not the holder of your medical record — that is the clinic’s job, and Medicare requires the practice that performs the scan to keep your request for two years.

The three details read off your referral are deleted about a week after your request reaches the clinic. The clinic already has them in the request we sent it.
A referral document or image you upload is deleted after 90 days, and the file itself is removed, not just hidden.
Your name, phone number, email, notes and preferred times are removed from a request after two years. The request itself stays as a record that it happened, with nothing in it that identifies you.

These deletions run automatically every day and each one is logged, so there is evidence the deletion actually happened rather than a promise that it should have.

Your rights

You can ask us to access, correct, or delete your personal information at any time by contacting us. You can cancel a booking yourself at any time using your booking's manage link.

Where our other data comes from

When you search by suburb we match it to a postcode using the Australian Bureau of Statistics’ list of suburbs and localities, so that a suburb we have no clinic in can still show you the ones nearby.
